The lawful basis we use depends on why we are processing your information.
- Responding to your enquiry, callback request and requested introduction: we process information where you have asked us to take steps in response to your request and, where applicable, because it is necessary for our legitimate interests in operating our information and introduction service.
- Referral and introduction administration: we may rely on our legitimate interests in administering requested introductions, maintaining appropriate records and managing our relationships with providers and introducers.
- Supporting documents: we process documents you voluntarily provide only for the purpose for which they are requested, such as supporting information about your income, debts, housing costs or identity in connection with your enquiry or requested introduction.
- Website attribution, service security and fraud prevention: we may rely on our legitimate interests in understanding the source of enquiries, operating our service securely and preventing misuse.
- Service quality and administration: we may rely on our legitimate interests in reviewing and improving our service, maintaining appropriate records and dealing with operational issues.
- Complaints, legal claims and compliance: processing may be necessary for our legitimate interests in establishing, exercising or defending legal claims or because we are required to comply with a legal obligation.
- Optional marketing: where marketing consent is required, we will rely on your consent. You may withdraw that consent at any time.
Where we rely on legitimate interests, we consider whether those interests are overridden by your rights and interests.
Where we rely on consent, you may withdraw that consent at any time. Withdrawal does not affect processing that was lawful before consent was withdrawn.
Information about your debts, income, expenditure and other financial circumstances can be sensitive, but financial information is not automatically special category personal data under data protection law.
eZe Debt Help does not require information about your health, disability, racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic or biometric information, sex life or sexual orientation as part of our introduction criteria.
Please do not provide medical, health or other special category information when using our service unless we specifically ask you to do so for a clearly stated purpose.
Documents you choose to provide are used only for the purpose for which they are requested, such as supporting information about your income, debts, housing costs or identity. We do not use those documents to identify or infer health conditions, disabilities, political opinions, religious beliefs or other special category characteristics.
Special category information is not used to determine whether you meet our introduction criteria and is not used to select, rank or recommend a debt solution.
If a document or communication contains special category information that is not required for the purpose for which it was provided, we will not use that information for our introduction criteria and will seek to minimise or remove unnecessary information where reasonably practicable.
Where appropriate to your enquiry and the service you have requested, we may share relevant information with:
- the introducer associated with your enquiry;
- a debt solution provider or professional adviser where you have requested an introduction;
- organisations providing hosting, email, communications, document processing or other technology services to us;
- professional advisers such as accountants, legal advisers or compliance advisers where required; and
- law enforcement, regulators, courts or other authorities where disclosure is required or permitted by law.
Where we make an introduction, information relevant to your enquiry may be provided to the recipient so that it can contact you and assess the services or debt solutions it may be able to provide. The recipient is responsible for its own assessment and for explaining how it will use your personal information.
eZe Debt Help's initial information and introduction service is free. eZe Ai Solutions Ltd may receive a referral fee or commission from a provider following an introduction. The provider will explain any fees for its debt solution before you decide whether to proceed.
We do not sell personal information as a standalone data product. However, our introduction service may involve sharing your information with a provider for the purpose of an introduction, and eZe Ai Solutions Ltd may receive remuneration following that introduction as explained above.
After submitting an assessment, you may be asked to upload supporting documents in connection with your enquiry or requested introduction.
Where supporting documents are required for your enquiry, we will explain what documents are needed. Your enquiry will not be completed and passed to the provider until the required documents have been supplied.
The documents we may request include proof of income, recent bank statements, creditor or debt statements, proof of housing costs and photo identification.
Uploaded documents may contain financial and other personal information. We use them only for the purpose for which they are requested and may securely forward relevant documents to the appropriate introducer or provider in connection with your requested introduction.
We do not request supporting documents for the purpose of identifying health conditions, disabilities, political opinions, religious beliefs or other special category characteristics, and we do not use such characteristics as part of our introduction criteria.
Supporting documents held by eZe Debt Help will normally be removed from our systems within 90 days after successful onward delivery unless there is a documented legal, regulatory, contractual, complaint or compliance reason requiring longer retention.
A provider receiving a document is responsible for its own copy and will retain it in accordance with its own privacy notice and retention requirements.
We keep personal information only for as long as it is reasonably necessary for the purpose for which it was collected, including where necessary to meet legal, regulatory, contractual, accounting, complaint, audit or dispute-resolution requirements.
Our normal retention approach is:
- Enquiries that do not progress: enquiry, assessment and associated communication information will normally be deleted or anonymised within approximately 12 months after the last meaningful interaction unless there is a documented reason requiring longer retention.
- Supporting documents: documents held by eZe Debt Help will normally be removed within 90 days after successful onward delivery unless there is a documented reason requiring longer retention.
- Introductions that result in a debt solution: where an introduction results in you entering into an IVA, DRO or DMP, we may retain the records we need relating to the enquiry, introduction, acknowledgements, communications and resulting debt solution for the duration of that debt solution.
- Records required after a debt solution ends: certain records may be retained for an appropriate period after the debt solution has ended where this is necessary for legal, regulatory, contractual, accounting, complaint, audit or dispute-resolution purposes.
- Complaints, legal and compliance records: records may be retained for up to six years from the relevant event or last meaningful interaction where this is necessary for legal, complaint, audit or compliance purposes.
- Marketing: where you have separately agreed to receive marketing, relevant information may be retained until you withdraw your consent or we determine that it is no longer appropriate to retain it.
- Suppression records: minimal information may be retained where necessary to ensure that an opt-out or marketing suppression request continues to be respected.
The provider administering an IVA, DRO or DMP is responsible for its own case records and retention periods. Its privacy notice will explain how long it keeps your personal information.
We periodically review retained information and may delete or anonymise it earlier where it is no longer required.
